1. WHAT DATA WE MAY COLLECT ABOUT YOU?

Personal data means any information about an individual from which person can be identified.

We may collect, use, store and transfer personal information about you which we have gathered together in certain categories.  Please take care when submitting information to us, particularly when completing an enquiry form, uploading content and other materials. Please note, some of our products and services may be automated and we may not be aware that you have accidentally provided us with incorrect or sensitive information.

  • Financial data includes bank account and payment card details.
  • Enquiry data includes data you provided us with when you contact us for consumer – any means of communication including written or via our website, email, WhatsApp, telephone, support assistance, SMS, or social media platforms, visit us at events such exhibition or trade show, participate in our surveys, competitions or prize draws etc.

What additional data we may collect when you request a quote or make a booking?

  • Passenger information, gender, passport details, visa information, nationality, and country of residence
  • If you provide us with information on behalf of other passengers please ensure that you have their permission to share their personal data and that they are aware of how we will use this information.
  • Details of your booking arrangements and travel itinerary.
  • Details of travel insurance.

  • At the time of booking, we may require payment card details but rest assured we do not store this financially sensitive information such as card numbers or security information.

Certain categories of personal information, such as that about race, ethnicity, religion, health, sexuality are special categories of data requiring additional protection under European Union and UK data protection law and are referred to here as “sensitive personal data”.

You may give us your identity, contact and financial data by filling in our enquiry form or by phone, email, social media, or face to face. This includes personal data you provide when you:

  • Identity and Contact Data from publicly available sources such as Companies House and the Electoral Register.
  • Identity and Contact Data from social media if you (i) interact with any of our social media platform, or (ii) you use one of our services that allow interaction with social media platforms, we may receive information relating to your social media platform accounts. For instance:
    (a)  Logging in: If you log-in to one of our websites, or services using your social media platform account, we may receive basic details from your social media platform profile. The basic details we receive may depend on your social media platform account privacy settings; however, they might include your social media platform ID, name, profile picture, gender and location.
    (b) Interactions: If you click on a ‘like’, or ‘tweet’ or similar button in one of our websites or services, we may record the fact that you have done so.

3. HOW WE USE YOUR PERSONAL DATA?

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Provision of safari and tour services or complete the necessary bookings for you safari or tour
  • Contact you with regards to your booking and send you documentation.

  • Promotion of our products and services

Marketing

  • If you have previously enquired or booked a safari or tour with us we may send you marketing communications about similar products and services and relevant special offers.
  • If you have subscribed to our email newsletter, you will also receive regular emails featuring relevant tours or safari products and special offers.

  • We may share your personal information with our partner suppliers in order to fulfil your trip request or booking, e.g. hotels, airlines, tour/safari guides, and car hire companies or other suppliers with whom we have made travel arrangements on your behalf.
  • Insurers
  • Credit and charge card companies for the purposes of processing your payment and fraud prevention.
  • We also work with carefully selected suppliers that carry out certain functions on our behalf, for example, IT services.
  • To comply with legal obligations, e.g. law firms, the police, and regulatory authorities.
  • Where you authorise us in writing we may also disclose your information to other people.

5. DATA SECURITY

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.

In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

How long will we keep your Personal data?

  • We will normally keep your data throughout the period of time that we are arranging your safari, tour or private hire booking for you and afterwards for a period of at least seven years, so as to ensure that we comply with the law, and any professional and other regulations which apply to us
  • In some cases we may retain your information for a longer period. We will tell you if this is the case.
  • In some circumstances you can ask us to delete your data: see your legal rights below for further information.
  • In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

What we may need from you? 

We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.

What time limit to respond?  

We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.
